We aspire to have systems and processes in place that align with our values, and that are articulated in a logical, systematic, and clear manner.

Goal 1


Update and expand our departmental governance structures and documents to sustainably support the MOT program’s distributed education model, and our commitment to equity, diversity and inclusion.

To achieve this goal, we will:

1. Undertake document review

Undertake a documentation review and make recommendations for the update, bringing in resources as needed.

2. Seek input from relevant partners

Seek input from relevant partners and refine documentation systematically based on feedback.

Measure

We will track progress towards this goal, by approving each section of governance documents with the OSOT Executive Committee until all sections are updated and approved.

Goal 2


Review and promote intentional support systems (e.g., onboarding, promotion & tenure process, faculty mentorship and student advising) to cultivate a just and safer professional environment for all.

To achieve this goal, we will:

1. Improve student advising/faculty mentorship structures

Review and recommend improvements to our current student advising and faculty mentoring structures.

2. Annual session on promotion & tenure

Run an annual session to present updates on the UBC/Faculty of Medicine promotion & tenure processes and hold Q&A for individual and group issues.

3. Review of staff roles and responsibilities

Undertake a formal review and refine staff roles/responsibilities within the department and in the context of the Faculty of Medicine to ensure adequate support for departmental activities, workload balance, and flexibility across people and sites.

4. Update onboarding procedure for faculty and staff

Review and refine onboarding procedure for faculty and staff in the context of our distributed site model.

Measure

We will track progress towards this goal by including specific questions in the new, annual OSOT ‘People & Belonging’ survey relating to feeling supported.

Goal 3


Achieve an exemplary accreditation outcome in 2028.

To achieve this goal, we will:

1. Capture institutional knowledge

Capture and document institutional knowledge of the accreditation process.

2. Prepare milestones and share process

Prepare a long-lead timeline for accreditation milestones, and share details about the overall accreditation process to the wider department, highlighting expectations and involvement required.

3. Submit documentation and oversee site visit

Submit relevant documents in a timely manner, respond to reviews, and oversee accreditation site visit.

Measure

We will track progress towards this goal by receiving exemplary status on our 2028 accreditation review.
